The Agency for Health Care Administration (AHCA), Division of Medicaid Policy has an exciting career opportunity for a dynamic, forward-thinking, innovative professional with strong communication skills who can excel under pressure as an Administrative Secretary. This individual will report to the Lakeysha Boatwright, Coordination and Office Management Unit, and will primary provided administrative and secretarial support for the Bureau of Medicaid Policy.
 
The Administrative Secretary will ensure that the administrative operations of the office run smoothly. Administrative Secretaries are responsible for a variety of administrative aspects in addition to standard secretarial duties.
 
Specific duties include:
•Coordinating and facilitating the administrator's calendar to arrange meetings;
•Preparing appointments;
•Office expenditures (e.g. supply and office needs);
•Making travel arrangements;
•Communicating with the public;
•Preparing mail-outs;
•Preparing /updating spreadsheets;
•Preparing reports, memoranda and taking minutes at meetings;
•Greet and assist visitors;
•Draft, format and edit correspondence to comply with the Agency's correspondence guidelines
•Maintain records for the units and will ensure the storage retrieval and destruction following established State procedures
•Receptionists for the Bureau and will coordinate office coverage with the Bureau Chief's administrative assistant;
•Maintain polite and professional communication via phone, and e-mail;
•Performing other duties as assigned
Salary is negotiable depending on experience.

MINIMUM QUALIFICATIONS:
  • Minimum of one (1) year of experience providing administrative support and/or working as an assistant to someone in a professional position as well as subordinates.
  • Minimum of 1 year experience in managing, coordinating, and facilitating the calendar of person in a professional position including arranging meetings, preparing for appointments/public meetings; ordering supplies or tracking of expenses, making travel arrangements, and tracking work assignments or unit activities/processes, communicating with the public, preparing mail-outs, preparing/updating spreadsheets, taking minutes, managing day to day office needs and maintaining records.
  • Minimum of two (2) years of experience with use of Microsoft Suite, including Microsoft Outlook.
  • A bachelor's degree from an accredited college or university and one year of administrative experience is preferred. Administrative or clerical experience can substitute on a year-for-year basis for the preferred college education.
