Responsibilities

The Tour Program Associate provides support to the Education department with a focus on Tour Programs.

Typical responsibilities:

  • Assists with day-to-day organizational and management practices to carry out policies and procedures for the Tour Program. 
  • Works interdepartmentally with others in the development of guided tour program policies, volunteer guide training, and performance management of the volunteer guide corp. 
  • Coordinates school and community group tour visit logistics including:
    • Communicates with teachers and/or administrators and confirms dates, times, number of students/participants, and identifies and special needs or requests and informs appropriate Education staff member.
    • Enters tour information and updates the school tour, shared events, and guide calendars with details. 
    • Creates and sends confirmation and reminder emails to teachers after booking. 
    • Compiles group packets prior to visit.
  • Plans, implements, and oversees volunteer guide tour scheduling in all Museum venues.
  • Serves as the primary liaison between Admissions, Security, Visitor Services and the volunteer guide corps to facilitate accurate communication of scheduling changes and to ensure optimal coverage of published tours. Manages guide schedule and records.
  • Facilitates communication between the Museum and volunteer guide corps through the creation and distribution of regular email updates to keep the volunteer guide corps informed including Museum news that may affect volunteer guide activities. 
  • Creates and maintains regular statistical reports on volunteer guide activity in Tessitura, Volgistics, and Microsoft Excel for use in quarterly and annual programmatic reporting including hours of service, program attendance and leaves of absence. 

As needed this role:

  • Fills in for guide no-show tours as needed in all venues, and maintains tour content by attending guide trainings and regularly leading venue tours.
  • Manages intake for new guide classes and monitors guide program attrition. Creates and updates volunteer guide emergency plan and staff emergency plan; maintains the guide directory. Maintains guide records to ensure content integrity in multiple software platforms.
  • Works with the Museum Education and Training Specialist to plan guide trainings and events.
  • Maintain and updates the volunteer guide website in Canvas including the establishment and monitoring of user accounts, maintaining the guide directory, and posts training and educational content.
  • Facilitates contract review and renewals with guides and performs other duties as assigned to include support for general museum operations.

Skills important to this role include:

  • Applicable computer applications and basic computer functions to include Microsoft (Excel, Outlook, Word) and Zoom.
  • Ability to:
    • Prioritize, organize and perform multiple work assignments with a high level of attention to detail.
    • Work effectively in a team environment and establish/maintain positive working relationships with a wide variety of stakeholders.
    • Effective and professional communication via phone, email, and in-person including speaking in public.
    • Problem-solving oriented with the ability to handle unexpected or difficult situations in the workplace.
    • Assist in planning events and trainings.

Qualifications

Education

  • Bachelor's degree or a combination of post high school education and experience equal to four years. 
    • (Note: higher education can substitute for experience at the equivalent rate.)

Skill

  • Valid driver's license or the ability to obtain prior to hire.

Physical

  • Stand and walk for long periods of time.
  • Ascend/descend stairs.

Helpful

  • Knowledge of Volgisitcs or Tessitura

Considerations

Rate of Pay: The rate of pay will range from $36,250 - $40,000 + and will be based on the education, skills, and experience of the selected candidate. Find out more about our comprehensive benefits package under the "FSU Total Rewards" section. 

Working Hours: Monday - Friday from 8:00 AM to 5:00 PM with a one-hour meal period.  This role may be required to work evenings, weekends, and holidays based on the needs of The Ringling.

  • This is a USPS position.
  • This position requires successful completion of a criminal history background check to include fingerprinting.
